Terre des hommes (Tdh) is the leading Swiss child relief agency. With offices in13 countries around the globe, Tdh delivers assistance to tree million children each year.
In Greece since 2016, Tdh has been providing an integrated child protection response ensuring access of asylum seeking refugee children and youth to safe, dignified care solutions through case management, protective accommodation legal assistance, mental health and psychological support (MHPSS), and life skills.
Tdh is working with the Geek civil society in order to strengthen and support the social services and safety nets that prevent children from becoming vulnerable.
Since 2019, Tdh is operating in Greece under a new Greek entity-> Terre des hommes Hellas.
General Position Description:
Based in Thessaloniki, under direct supervision of the Logistics Manager.
The driver/Logistician will be responsible for the vehicles assigned to him/her, ensure a good and safe transport of Tdh staff and equipment and ensure the maintenance of the vehicles under his/her responsibility.
The driver/Logistician will support the logistics Manager in implementing all logistics activities at his/her assigned base.
In particular, he/she lends support to carrying out urgent activities, as well as planned activities that do not interfere with the driving schedule.
Key responsibilities :
1. Transport people and equipment under good security conditions
·When transporting Tdh employees or goods respect the country’s circulation rules and follow the logistics planning and instructions.
·Ensure all staff and expatriate put their security belt.
·In case of an accident, immediately get in touch with the closest police station and duly inform the logistics department;
·Follow the instructions of the manufacturer and the Tdh rules when using the vehicle;
·Keep all personal documents as well as those of the vehicle with him/her and check that they are valid (driving licence, insurance paper, order mission, Tdh ID card, Tdh charter & Waiver of liability form…)
·Fill in the Logbook every day according to Tdh procedures and the Fuel Logbook when needed.
·Respect Tdh safety/security rules
2. Ensure maintenance of the vehicle:
·Solve minor technical problems;
· pick up and park a Tdh car from a parking spot close to Thessaloniki Tdh Base every time the car needs to be used and/or is returning from the field.
·Inform the logistics department of any major repairs to be carried out;
·Carry out regular checks to the vehicles assigned to him/her before starting up the motor (oil level; water level; pressure of the tires)
·Ensure log books for each vehicle are filled out properly with regular checks and proper instructions to driving team members. Note down refueling mileage and quantities, along with a record of maintenance or Damages for the vehicle.
·Performing regular inspections of the vehicles exterior condition, and keep a record of any cosmetic damages or wear.
·Ensure that the security tool box and first aid kit are complete and on board
·Ensure vehicles do not run out of fuel.
·Inform the logistic manager when service is necessary.
3. Prepare departures to the field:
·Prepare additional equipment to be brought along according to needs (fuel, stickers, flags, tools, medical kit).
Ensure the good loading and unloading of the car and tight the goods in an appropriate way.
·Make sign a Waiver of Liability form letter for none Tdh staff.
4. Behavior and reporting
·Wear on a daily basis Tdh visibility clothes
·Behave in a respectful way to police officer and/or to military keeping in mind that you are representing Tdh.
·Report to the logistician manager or substitute logistician any problem encountered on the road.
Note that this job description must remain flexible, to respond to additional tasks or changes as identified by the line manager.
Following instructions of the logistics Manager, the Logistician is in charge of:
* Request and collect quotations offers from suppliers regarding the purchase procedure identified for applying
* Carry out simple purchase (less than 150 euros)
* Update procurement follow-up tools if needed (PSR Follow-up)
* Send written orders to the suppliers
* Take part and follow purchasing procedures (internal and external documentation, quotation, purchase order)
2. Assets and IT
* Support the Logistics Manager to ensure Tdh equipment proper dispatching and installation.
* Update asset follow-up tools if needed (asset Follow-up, stock inventory personal equipment sheets)
3. Support in Fleet management
* Make the vehicle follow-up every month, (fuel and mileage follow up), synthesis of cost per km, synthesis of maintenance cost, synthesis of total cost…) according Tdh’ procedure
* Ensure all vehicles legal documentation and procedures are updated.
* To report directly to the logistic manager and informed him/her about any fleet and drivers management issue.
Significant knowledge of mechanic and the maintenance of vehicles, good knowledge of Thessaloniki city and the surroundings
University diploma in a Logistics field is an asset
Basic knowledge of IT (hardware and software, Microsoft Office, Internet)
Knowledge and previous experience in supply and logistics procedures is desirable
Previous experience with an NGO is desirable
Previous experience in emergency response is appreciated
Required: Valid driving license, organized, sense of human relations, diplomacy, communication skills
Desirable: proactive, rigorous, analytical, willingness and motivation to work in an international and intercultural context.
Fluent in English and Greek (written and spoken)
Knowledge of Arabic, Farsi or Kurdish is an asset.
Agree to comply with Tdh Code of Conduct and ensures Child Safeguarding standards are upheld.
Adhere to and ensure the team under her/his responsibility follows Tdh administrative and logistical regulations and procedures
